DOMAIN INTELLIGENCE · INVOICEDX.AI

Invoice intelligence that helps you decide what happens next

Invoices, purchase orders, goods receipts, ERP records, e-invoicing responses and tax workpapers often tell different parts of the same story. InvoiceDX helps bring that context together so teams can understand a discrepancy and choose a governed next step.

Domain-focused AI helps investigate possible causes and recommend actions. Business rules, authorised people and connected systems remain in control.

Your systems have the data. Your teams still have to connect the meaning.

  • Split evidence

Invoice, PO, goods receipt, ERP and provider each hold part of the story.

  • Manual investigation

Context is rebuilt by hand each time an exception moves between AP, procurement, tax and IT.

  • Unfinished resolution

A suggestion is not an authorised action, and an action is not a verified ERP result.

Understand the invoice. Investigate the difference. Recommend the next step.

Each capability shows its readiness once it has a dated validation record.

  • Verification of downstream status, where integrated

Reads back ERP or provider status where a tested connection exists; otherwise shows not verified.

    Works through: IntegrationYour rules

How each capability works: Domain model reads and explains invoice context; Source-grounded cites the records and rules it used; Your rules apply the same way every time, independent of the model; Integration available only where your ERP or provider is connected.

Domain Language Models are part of the AI architecture; model suggestions are not regulatory decisions, accounting approvals or payment instructions.

AI recommends. Rules validate. Authorised people approve.

  1. Understand

    Who: AI

Reads the invoice and related records, within the asker’s permissions.

  2. Investigate

    Who: AI with configured rules

Compares the records and lists possible causes with their uncertainty.

  3. Recommend

    Who: AI

Proposes a next step with cited evidence — not an approval.

  4. Authorise

Who: Rules, then an authorised person

Rules check tolerance, DOA and segregation of duties; the approver accepts, changes or rejects.

  5. Act and verify

Who: Your ERP or provider; InvoiceDX reads back where integrated

Your system carries out the approved action; it is shown as confirmed only where a tested connection reads it back.

Where an integration is not available, the workflow shown is illustrative or planned, not live execution.

Scenario A · Accounts payable

Supplier invoice for 120 units; goods receipt for 100

  1. RulesINV-SYN-1042 bills 120 units against PO-SYN-7781; GRN-SYN-0387 records 100. The invoice is held.Held
  2. AIFlags the 20-unit variance with citations; possible causes: a later delivery, or over-billing.Recommended
  3. RulesQuantity tolerance and DOA route the decision to the AP supervisor role.Rule-allowed
  4. Authorised reviewerApproves posting for 100 units and a credit-note request for 20.Approved
  5. ERPWrite-back is shown as confirmed only where the connection has test evidence; here it has none. Not verified

Scenario B · Outgoing e-invoice

An authorised provider rejects a sales invoice

  1. ProviderThe authorised provider rejects SINV-SYN-2210 with a validation message.Rejected
  2. AISuggests a documented cause — the buyer tax ID fails the provider’s format rule — citing the message.Recommended
  3. AR user and providerThe user corrects the ERP record; the provider processes the corrected invoice. The model re-submits nothing.Approved
  4. Provider and ERPStatus is shown as verified only where this flow has been tested; here it has not.Not verified

Illustrative examples using synthetic data. Not live transactions.

Ask Scenario A a question

Open a question for a synthetic answer that cites its sources and says what it does not know.

Why is this invoice blocked?

INV-SYN-1042 bills 120 units against PO-SYN-7781 line 10; GRN-SYN-0387 records 100 — outside the quantity tolerance, so the rule held it.

Possible causes, not confirmed: a second delivery, or over-billing. Cited: invoice line 1, PO line 10, GRN-SYN-0387.

Which rule applies?

Synthetic policy QT-01 (quantity beyond tolerance); DOA routes it to the AP supervisor role, and the PO raiser cannot approve. The AI cites the rule; it does not change, waive or override it.

What changed after approval?

Posting for 100 units and a credit-note request for 20 were approved and recorded with role, time and rule version. ERP status stays “Awaiting authorised action in ERP” — Not verified — until a tested connection reads the posting back.

Illustrative workflow using synthetic data. Not a connected live transaction.

Specialised AI, with financial controls intact

Rules, DOA, segregation of duties, review and verification work as in the loop above. Information security: ISO/IEC 27001, certificate available on request; hosting, retention and model-evaluation details are shared under NDA.

Design principles

  • Permission-aware retrievalThe AI works with the records the person asking is allowed to see.
  • Shown uncertaintyAlternatives and uncertainty, not unexplained confidence scores; each answer cites its sources.
  • Audit trailRecommendation, rule result, decision and outcome are recorded together.

What AI never decides

  • Whether an invoice is approved
  • Whether a payment is made — InvoiceDX does not execute payments
  • Whether a GST/VAT return is filed, or what is submitted to a tax authority
  • The statutory tax treatment of a transaction
  • Changes to your rules, DOA limits or approver roles
  • Posting to your ERP without an authorised decision

What we have validated

Each workflow is listed with its validation date once testing is complete.

Validation records are added per workflow as testing completes: Supplier invoice quantity variance against PO and goods receipt · Outgoing e-invoice rejected by an authorised provider · Invoice record that does not match the GST/VAT workpaper.

Questions enterprise teams ask before using AI

Does it replace our ERP?

No. Your ERP stays the system of record; write-back is limited to connections evidenced connector by connector.

Is InvoiceDX the accredited e-invoicing provider?

InvoiceDX makes no claim to be an accredited or authorised e-invoicing provider; it works alongside yours.

Is this a generic LLM?

Not a general-purpose chat assistant. Domain Language Models are part of the AI architecture; answers are designed to be grounded in your records, then checked by rules and people.

Is the DLM proprietary?

We do not state model ownership on this website. An architecture briefing is available on request.

Can the AI approve invoices or payments, or file GST/VAT returns?

No. The AI recommends; your rules, DOA and authorised people approve. InvoiceDX does not execute payments or file returns.

Is the advice guaranteed?

No. A recommendation can be wrong; rules and authorised review remain necessary before any action.

Is it live in every country?

No. Readiness differs by country and workflow — see each country page and Trust & Readiness.

View readiness per country →

Can it see other customers’ data?

As a design principle, each customer’s data is used only for its own workflows, under each user’s permissions; ask for the security briefing.

How are tax rules updated?

Tax context is designed to come from practitioner-reviewed rule sets with dated primary sources; the model does not write tax rules.

What happens if an answer is wrong?

Rules still validate the action; an authorised reviewer can reject or override it, and the override is recorded.
